In InnoPLEIN a project is not a folder of loose files but a set of cards. Every document, photo, video, website or action point is a card, with the description, the labels, the deadline and the conversation about it right alongside. Arranged in folders, grouped by phase.

Who may see what is something you set per person and per group. Sharing with someone outside goes through a link with a password and an end date. And every action goes into the audit log, so that a file is still traceable a year later.

What InnoPLEIN solves

A project starts with a few files and grows into a folder where nobody can find their way any more. The latest version of a report is in a mailbox, the photos from an inspection are on a phone, and why something was decided the way it was is nowhere at all. Searching then costs more time than the work itself.

InnoPLEIN turns that around. The unit is not the file but the card. A document, a photo gallery, a film, an audio recording, a website or an action point — with the description, the labels, the deadline, an amount or a number, and the comments that came in about it. What belongs together sits together.

That delivers two things at once: an overview while you are busy, and a complete file when you have to come back to it later. For the second, nobody has to make a separate effort — it arises by itself, because everything that happens is recorded.

How it works

The structure is deliberately simple, so that someone who comes by once a month does not have to work out all over again how it went.

  • 1 · A project with phases Every file, project or tender gets its own project with its own name, icon and phase. You set the phases yourself — with their own colour and order — so that everyone sees at a glance where something stands.
  • 2 · Folders and cards Within a project you arrange everything in folders and subfolders, ten levels deep if need be. Every card gets labels, a deadline and a value, so that you can filter, sort and add up on them later.
  • 3 · Discussing and deciding The conversation sits underneath each card: comments, if you wish visible only after approval. If you want to know what everyone thinks, you switch on star ratings or yes-no votes and see straight away where things are stuck.
  • 4 · Sharing with outsiders A supplier, adviser or client needs no account. You create a share link for one card, one folder or the whole project — with a password, with or without downloading, with an end date, and if you wish only after an administrator has approved it.

What you do not have to do: refresh. Comments, votes and new cards appear by themselves while you are looking, so that two people can work on the same project at once without overwriting each other's work.

Why organisations choose it

Most project tools are built for speed. InnoPLEIN is also built for the question that comes afterwards: who was actually allowed in here, and can we demonstrate it? That makes the difference as soon as sensitive documents end up in a file.

  • Permissions down to folder level You arrange access per project and per person: reading, reading and writing, or deleting as well. There is no single key to the whole environment.
  • Reading along without risk Anyone who only needs to look on gets a read-only role that you can limit to one folder or to everything with one label. They see what they have to see and nothing beyond it.
  • Permissions through groups You give access to a group instead of to individual names. Taking someone out of the group closes every door at once, including those of older projects.
  • Accountability without extra work Creating, changing, viewing, downloading, sharing, approving and logging in are all recorded — stored separately per year and, if you wish, written immutably, so that not even an administrator can adjust them.
  • Two-factor authentication Switched on per user, with an authenticator app or a code by email. For accounts with access to sensitive files, a small effort with a lot of effect.
  • Limiting access by IP Would you like an environment to be reachable only from office networks or a fixed VPN? Then you block the rest by IP address or range.
  • Your files where you want them You arrange storage yourself: on our own servers in the Netherlands, or in an object storage bucket belonging to your own organisation. You decide where the documents sit.
  • Several environments, strictly separated If you work with departments, branches or separate entities, each gets its own environment with its own projects, users, phases and labels. The separation is in the server, not in the menu.

InnoPLEIN is a product of InnoDIGI's own making: we build it, we host it and we keep it up to date. That also means there is no supplier in between when you need something that is not in there yet.
